Step 1: Closing the Knowledge Gap
To scale, your team must know their roles inside and out. Address this gap by:

  1. Hiring the Right Talent: Bring in talent that has done the job before.

  2. Onboarding Thoroughly: Use the first 1-4 weeks to teach systems, tools, and expectations.

  3. Ongoing Training: Managers should coach regularly, ensuring skills and processes stay sharp.

Step 2: Closing the Importance Gap
Managers often know what needs to be done but fail to communicate priorities effectively. Solve this by:

  1. Prioritizing Objectives: Rank objectives like client retention, results, and productivity in clear order.

  2. Communicating Clearly: Managers must share priorities with their teams in a way that’s easy to remember and repeat.

  3. Setting Expectations: Verify understanding and document agreements in writing. Ensure everyone is aligned on both order and targets.

Step 3: Closing the Action Gap
Even with priorities clear, execution often falters. Ensure accountability through:

  1. Cultural Alignment: Reinforce behaviors tied to your agency’s values and goals.

  2. Securing Commitments: A task isn’t assigned until it’s acknowledged with a specific deadline.

  3. Accountability: If deadlines are missed, managers must hold individuals accountable with clear consequences.
