Revenue forecasting isn’t just about the sales pipeline. It’s about:
Ongoing Client Revenue: What’s already locked in?
Pipeline Deals: Calculate their weighted value (e.g., a $30k project with a 90% likelihood is worth $27k).
Upsell Opportunities: Identify opportunities within current accounts.
Combine these to create a clear picture of incoming revenue. This ensures you’re prepared for both current obligations and future growth opportunities.
Step 2: Create a Capacity Forecast
Capacity planning starts with assigning billable targets for individuals and teams:
Calculate the total billable hours available per billable team member.
Deduct assigned work to see remaining capacity.
Highlight gaps where workloads are uneven.
Take into account types of work to see if specific roles or departments are over or under-utilized
Tools like Asana, ClickUp, Wrike, or even a well-structured spreadsheet can help you track this.

Available resources for new projects.
When to hire (or outsource).
Whether your pricing aligns with project profitability (when you look at completed projects).
